Part 1 — The First Hello: where every retreat begins
This is part 1 of our series “From first hello to final hug: how we host retreats at VilaFoia”, where we take you behind the scenes of how we welcome, prepare and support retreats and group stays at our retreat venue in Monchique, in the Algarve, Portugal.
A retreat at VilaFoia does not begin on arrival day.
It begins much earlier.
Sometimes with a short email. Sometimes with a message through our website. Sometimes with a retreat leader who already knows exactly what they want. And sometimes with someone who simply has a feeling: *I want to bring a group to Portugal, somewhere peaceful, warm and personal — but I am not yet sure what it should look like.*
That first message is always more than a request for dates, rooms and prices.
For us, it is the beginning of a conversation.
More than a booking request
Hosting a retreat is not the same as hosting a holiday.
A retreat has an intention. There is a reason why people are travelling, gathering, slowing down, learning, healing, creating or reconnecting. Before we talk about rooms, meals, transfers or schedules, we first want to understand that reason.
What kind of group is coming?
What do they need from the space?
What should the atmosphere feel like?
Will the days be full and structured, or quiet and spacious?
Is this a yoga retreat, a wellness retreat, a creative retreat, a leadership programme, a hiking week, a company gathering, or something completely unique?
And perhaps most importantly: what does the retreat leader want their guests to feel when they leave?
That question often tells us more than any practical checklist.
Understanding the intention behind the retreat
VilaFoia is set in the mountains of Monchique, overlooking the Algarve and the south coast of Portugal. It is a peaceful place, but not a passive one.
The house, the garden, the views, the group spaces, the geodesic dome, the yoga deck, the meals, the rhythm of the days — all of these things can support the experience a retreat leader wants to create.
But only if we listen first.
That is why the first hello matters so much.
It is the moment where we begin to understand whether VilaFoia is the right fit. Not every group needs the same things. Some groups want silence and simplicity. Others want adventure, movement and activities. Some need full focus and privacy. Others want a soft balance between programme time and free time by the pool, in the garden or exploring the mountains.
The first contact helps us sense the shape of the retreat before we ever make a proposal.
And just as important: it allows the retreat leader to sense us.
Why trust starts early
When someone brings a group to a retreat venue, they are not just booking accommodation.
They are trusting another team with part of their own promise to their guests.
They need to know that the place understands them. That the food will be cared for. That timing will matter. That small details will not disappear. That practical questions will be handled calmly. And that the group will be welcomed not as anonymous guests, but as people arriving for something meaningful.
We take that trust seriously.
Of course, availability and budget are important. They always are. But the best retreats usually begin with something much more human: a shared feeling that we understand what the retreat could become.
Sometimes, already in that first exchange, we can feel the beginning of something special.
A retreat leader describes the kind of week they are dreaming of. We imagine the group arriving, walking into the garden, seeing the view for the first time, gathering for their first meal, slowly landing into the rhythm of the place.
And from there, the practical work begins.
But the first step is always the same.
