Part 2 — The First Call: where the retreat starts to take shape
This is part 2 of our series “From first hello to final hug: how we host retreats at VilaFoia”, where we take you behind the scenes of how we welcome, prepare and support retreats and group stays at our retreat venue in Monchique, in the Algarve, Portugal. After the first hello, there is usually a moment where the conversation becomes more real.
An email is helpful. A message can tell us dates, group size and a few practical wishes. But a retreat is rarely understood fully through written words alone.
That is why we like to have a first call.
Not a sales call.
A conversation.
A chance to hear the voice behind the idea, to understand the rhythm of the retreat, and to give the retreat leader a feeling for who we are, how we work, and what VilaFoia can offer.
Because when someone is planning a retreat, they are not just looking for a venue. They are looking for a place that can hold the experience they want to create.
Listening before planning
Every retreat leader arrives with a different kind of clarity.
Some already have a full programme, dates, teachers, meals, activities and rooming needs in mind. Others are still shaping the concept. They know the feeling they want to create, but not yet all the details.
Both are completely fine.
The first call is not about having everything ready. It is about discovering what matters.
We ask about the group, the intention, the daily rhythm, the preferred atmosphere and the practical needs. We talk about whether the retreat is more active or quiet, more structured or spacious, more inward-focused or social.
Will there be yoga every morning?
Do guests need time for reflection or journaling?
Will the group eat all meals together?
Are there workshops, treatments, hikes or excursions?
Is privacy important?
How much support does the retreat leader want from our side?
These questions help us understand the retreat beyond the number of rooms.
They help us imagine how the days might feel.
Finding the right rhythm
One of the most important things we explore during the first call is rhythm.
A retreat has a flow. Arrival, landing, first meal, morning practice, shared sessions, breaks, activities, quiet time, evening meals, closing circle, final hug.
Some retreats need a calm and spacious rhythm, with plenty of room between sessions. Others work better with a more energetic programme, including hikes, creative activities, bodywork, workshops or shared experiences in the mountains of Monchique.
At VilaFoia, the spaces can support different types of rhythm.
The geodesic dome can become a peaceful home for yoga, breathwork, meditation or group sessions. The yoga deck under the cork trees is beautiful for morning practice. The garden and terraces offer quiet corners to rest. The breakfast room and indoor spaces can support meals, workshops and conversations. The pool and jacuzzi can become part of the softer moments of the day.
But the right rhythm is never automatic.
It starts with understanding what the retreat leader wants the guests to experience.
Practical questions with a human purpose
Of course, the first call also includes practical details.
Dates. Group size. Room setup. Meals. Dietary needs. Transfers. Activities. Budget. Exclusive use. Minimum stay. Arrival times. Departure times.
These details matter.
But they are not separate from the retreat experience. They shape it.
A late arrival may influence the first dinner. A full programme may need more spacious meal times. A group with different dietary needs requires careful preparation. A retreat with deep emotional work may need more privacy and fewer external interruptions. A hiking retreat may need packed lunches, transport and a different daily structure.
That is why we never see the practical questions as just administration.
They are part of creating the conditions for a smooth, warm and well-held stay.
The more we understand early, the better we can support the group later.
Is VilaFoia the right home for this retreat?
The first call is also a moment of honesty.
We want VilaFoia to be the right fit — not just available.
Our location in the mountains of Monchique is peaceful, natural and personal. We are not a large resort, and we do not want to feel like one. We are a small retreat venue with 12 rooms, views over the Algarve, several group spaces and a warm, hands-on way of hosting.
For many retreats, that is exactly what makes VilaFoia special.
But every retreat has its own needs. Some groups need complete silence. Others want a high level of luxury services. Some need a very specific room setup. Others need easy access to nightlife or a city environment. The first call helps both sides understand whether the match feels right.
When it does, something shifts.
The retreat leader begins to see the group here.
We begin to see how we can support the retreat.
And the idea starts becoming a plan.
From conversation to proposal
After the first call, we usually have enough understanding to prepare a more thoughtful proposal.
Not just a price.
A proposal that reflects the retreat: the rooms, the spaces, the meals, the possible activities, the timing and the level of support needed.
It is still a practical document, of course. But behind it is the conversation we have just had.
The intention.
The rhythm.
The group.
The atmosphere.
The small details that may become important later.
That is why the first call matters so much.
It helps us move from general availability to a retreat that starts to have its own shape.
